Job Description:
Under the direction of the Clinic Administrator, the part-time Clinic Administrative Assistant (CAA) is the secondary support for all matters of operations and protocol as well as the Clinic Administrator's secondary internal support regarding routine and special projects on behalf of the Providence Law Clinic.  In conjunction with the clinic's full-time staff member, the Assistant is often the first voice and/or face of the Law Clinic.

Essential functions of the position include but are not limited to:

  1. Clinic Duties:
    -  Assisting with the maintenance of the Clinic Case Management 
       Program;
    -  Assisting students with preparation for court;
    -  Preparing weekly reports for the Clinic Administrator regarding clinical
       issues and concerns;
    -  Updating the case assignments list for the Criminal Defense Clinic;
    -  Creating correspondence, affidavits, briefs, and other legal
       documents for review by the Clinic Administrator;
    -  Scheduling interpreter services as needed;
    -  Setting up and maintaining legal files in good order.
     
  2. General Office Duties:
    -  Preparing payment vouchers, maintaining petty cash drawer funds
       and clinic credit card receipts;
    -  Training students on office equipment use as well as troubleshooting
       equipment problems;
    -  Filing and photocopying upon request;
    -  Sorting all incoming mail and distributing to the appropriate person.
     
  3. Reception and Communication Duties:
    -  Presenting the character, decorum, energy, and professionalism of
       the Law Clinic in all communications with clients and outside
       attorneys.

This is a 10-month position located in Providence, RI with the assignment scheduled to run from August 1 to May 31 each year.

Requirements:
Candidates must be bi-lingual (Spanish/English) and have both oral and written proficiency.  An Associate's degree in secretarial, administrative, or a related field is required as well as a minimum of two (2) years of legal secretarial/paralegal experience, preferably in a litigation environment. Candidates must be able to demonstrate excellent skills in Microsoft Office Suite. To be successful in this position, the chosen candidate must be detail-oriented and be able to multi-task.  Demonstrable knowledge of legal terminology, Rhode Island practice, procedure, and legal forms, as well as law office procedures is required.  The chosen candidate must have the ability to independently compose basic legal correspondence and pleadings. 

At the University's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
