Job Description:
Under the direction and oversight of the Vice President for Student Affairs and the Assistant Vice President and Dean of Students, the Administrative Assistant provides administrative, professional, paraprofessional, technical, supervisory, and clerical support to the Office of the Vice President.
Essential Functions of this position include but are not limited to:

Office Administration --
a. Provide overall administrative support for the Vice President of Student Affairs
(VPSA)
b. Serve as the central contact person and information provider for the
Student Affairs Office
c. Prepare reports and memos for VPSA and Assistant Vice President (AVP) as well
as assist with departmental mailings.

Budget Management --
a. Support the Vice President with respect to payroll and operational
budget management for the Division.

Office Coordination --
a. Calendar management for VPSA and AVP
b. Prepare and distribute presentation and meeting materials for division and senior
management
c. Monitor, respond, and distribute correspondence
d. Prepare, monitor, and report on office purchase orders
e. Arrange meetings and events for the Division.

Supervision --
a. Interview, select, and supervise approximately 18-20 work-study
students
b. Co-supervise student worker who work the switchboard.
This position also serves as the administrative support for the Students of Concern Committee and provides support to the Board of Trustee sub-committee on Recruitment, Retention, and Student Life, as necessary. The Administrative Assistant coordinates all aspects of the Student Affairs newsletter under the supervision of the Assistant Vice President and Dean of Student Affairs as well as updates the Student Affairs website.
Requirements:
A Bachelor's degree in Psychology, Business Administration, Education, Liberal Arts, or a related field is required as well as two years of substantive and intensive lead office management coordination. Candidates must have at least an intermediate proficiency with Microsoft Office Suite, especially Word, Excel, and PowerPoint. Must also have proficiency with Outlook. To be successful in this position, candidates must have strong and effective interpersonal, organizational, and administrative skills and be able to handle highly sensitive matters with complete discretion.
A Master's degree in Counseling, Student Affairs or Higher Education Administration, Business Administration, or a related field is preferred. Demonstrated supervisory experience and office coordination in higher education or a large communications organization is also preferred. Experience working with a diverse population is a plus as well as the ability to advise student groups.
At the University's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
