Customer Care Specialist
SUMMARY
This is a full time position which requires dedication in a fast paced environment. Answers all incoming telephone calls for a specific branch location. Greets visitors at establishment, determines nature of business, and directs to proper destination. Provides clerical assistance for sales representatives and Manager. Performs all duties in a manner which ensures total quality and effective customer service.
ESSENTIAL TASKS AND RESPONSIBILITIES
* Answers and routes all incoming telephone calls in a cheerful, courteous and timely manner.
* Takes clear, concise and correct messages as needed
* Greets all branch visitors and announces their arrival to appropriate staff member.
* Maintains neat and orderly appearance of work station and lobby area.
* Enters all customer orders for the branch and then reviews the order confirmation for errors.
* Use backlog reports to expedite customer orders to secure on-time delivery.
* Performs stock checks and obtains delivery information (may utilize on-line vendor access) for sales representatives to process customer quotes.
* Process and track return material authorizations (RMA’s).
* Sends samples, line cards and sales literature to customers and potential customers.
* Performs a variety of clerical duties as time permits (such as typing, faxing, sorting mail, filing, etc.)
* Prints and reviews daily, weekly, bi-weekly and monthly reports as instructed by Manager. These reports to include but not be limited to backlog reports, sales order hold reports, customer open order reports, and monthly numbers.
* Orders and restocks all necessary office supplies.
* Maintains office calendar.
* Participates actively in PEI’s total quality process.
