Rhode Island Regional Coordinator
Responsibilities:
Volunteer Management
~ Recruit and coordinate volunteers for monthly birthday parties in the region. This will include working closely with Hasbro employee volunteers and community relations staff.
~Manage and administer the Birthday-in-a-Box Program.
~ Respond to all inquiries (email, phone etc.) about volunteering or donating to Birthday Wishes Rhode Island.
~Coordinate volunteer groups & set up service projects for interested volunteers
~Coordinate regularly scheduled volunteer orientations and background checks for new volunteers
Shelter Relations
~ Identify and reach out to shelters and other programs needing our services
- Research and become familiar with family homelessness in Rhode Island
- Identify and become familiar with local homeless advocacy and support organizations for possible collaborations.
~ Maintain strong, regular working relationship with existing shelter contacts
Service Delivery and Internal Operations
~ Ensure each shelter we serve in the region has a volunteer party coordinator
~ Oversee party coordinators:
- provide initial training;
- attend first party at each new shelter with party coordinator
- collect party dates and needs on monthly basis;
- make sure party coordinators have access to supplies and other support necessary to run monthly parties;
- develop and maintain regular contact with coordinators and shelters
~Fill in for party volunteers when absences are unavoidable: avoid party cancellations.
~ Manage party supply inventory
~ Submit monthly reports on expenses, in-kind donations, and party data
Donor Relations
~ Be available by appointment, and/or regular office hours to coordinate office volunteers, meet donors who want to drop off supplies and party coordinators who need to pick up supplies
~ Maintain records of donors and volunteers for donor database
Communications & Outreach
~ Communicate all local news, i.e. new party coordinators, new shelters, fundraising events, special volunteer acknowledgements, corporate partners, wish lists and other office needs, to Newton office for monthly newsletter
~ Outreach to Rhode Island communities (especially those where homeless programs are located) through local schools, churches, temples, scout troops, etc. local papers, flyers, etc. looking for donations and volunteers
~ Identify and attend recruiting events or opportunities to speak to groups about Birthday Wishes.
~ Plan and coordinate “mini-fundraisers” for financial and in-kind donations.
Other
~ Practice high level of confidentiality and respect for those we serve.
~ Reply (within 24 hours) to phone and electronic communications from external and internal sources; high importance to return donor and volunteer messages and inquiries PROMPTLY with reasonable consideration during “non” office hours.
~ Attend quarterly staff meetings held at the Newton, MA Headquarters
~ Posses strong public speaking skills
~ Have experience interacting with diverse constituencies
~ Have proven ability to multitask and prioritize
~ Must have reliable transportation.
