Job Description:
The Special Assistant to the Sr. Vice President for Legal Affairs & General Counsel and Office Manager (SA/OM), under the supervision of the Sr. Vice President for Legal Affairs, General Counsel, and Secretary of the Board of Trustees (GC), provides technical, high level executive, administrative, and clerical support to the GC as well as manages the Office of General Counsel's (OGC) administrative services, while coordinating and supervising the clerical and ministerial administrative services, enforcing OGC's protocol for operational efficacy.
Essential functions of this position include but are not limited to:
- Executive Assistance:
a. Provide direct professional, technical, and executive level clerical
assistance on virtually all matters that come before the GC such
as paralegal level deliverables, the delegation of legal service
provision to and among the attorneys comprising the OGC, and
point of contact with and tracking the agenda of the Board of
Trustees;
b. The SA/OM is the personal assistant to GC and will serve as GC
liaison to other departments, OGC scheduling manager,
confidential and highest level document preparer, confidant, and
special projects designee;
c. The SA/OM is responsible for providing clerical, operational, and
administrative support to the Secretary of the Board of Trustees,
other administrators, fiduciary directors , and/or trustees, as
required.
- Operations Management:
a. The OGC's divisions of service include Legal Affairs, Labor
Relations, Environmental Health & Safety, Risk Management
Council, and Board of Trustees services that must be
coordinated to ensure efficacy of operation;
b. The SA/OM manages the budgets, enforces GC's directed
protocols and practices, manages inventory across all divisions,
and ensures employment policy, practices, and protocols are
adhered to and properly managed across all divisions of service;
c. The SA/OM is formally the substantive liaison between and
among OGC's divisions of service as well as the process and
protocol liaison between OGC and its client University's
constituents.
- Staff Supervision:
a. The OM is directly responsible for the daily supervision of and
delivery of service from the clerical and paraprofessional staff of
OGC which includes performance evaluations and work
prioritization and delivery;
b. As a supervisory professional employee, the SA/OM is a
member of GC's administrative cabinet and is expected to
participate in fundamental operations decisions at both the daily
and strategic levels.
- Confidentiality:
a. It is essential that this position maintains strict confidentiality
within the supervisory structure of the Office of General Counsel
of all matters, in any way, involving the University or its agents
or employees;
b. In some matters, this confidentiality remains only among and
between GC.
Requirements:
A bachelor's degree in business or a field demonstrably germane to the position's responsibilities is required as well as a minimum of 5 years of successful and demonstrable experience as a professional engaged in business operations and client management in a corporate setting. At least 2 years of intensive, hands on corporate experience is highly desirable. Professional experience where communication is a substantive responsibility is a plus. Paralegal experience, demonstrable portfolio, and certification is preferred.
