 Job Description:
The Payroll Specialist will be responsible for accurate and timely processing of payroll for exempt, union and non-union,  non-exempt, staff, executives and student employees of Roger Williams University and School of Law by utilizing ADP time and attendance and Datatel automated payroll systems. Duties include but are not limited to complex calculations of faculty special payments, overtime, wage garnishments, retro, car allowances, and gross ups of payments. Involves frequent  customer contact, and a working knowledge  of payroll policies and procedures in a high volume payroll environment. The Payroll Specialist will support the Payroll Manager in payroll audits to ensure accuracy of data entry.

Essential Functions include but are not limited to:

1. Payroll Processing:

  • Perform accurate and timely processing of the Weekly/Bi-weekly Payroll to completion, data entry of payroll detail  into Datatel  payroll processing system, reconciliation of payroll batches, and payroll management report requests;
  • Process all time data entry and review for accuracy and completeness of salary, regular time, overtime, leave of absence, vacation payouts, retirements, terminations, retro, and severance payments;
  • Process employee garnishments, deductions, and distribute manual checks as per Roger Williams University policy;
  • Process the preparation of submission of all federal and state payroll tax reports in the absence of the Payroll Manager.

2. Payroll Support and Reports:

  • Print and distribute pay statements and or checks, runs payroll departmental reports, and maintains employee records as per government regulations;
  • Assist in the year end processing of W2s and Re-issues W2s as requested.;
  • Monitor and address employee inquiries;
  • Work with Payroll Manager to ensure that all payroll transactions are properly recorded with the general ledger;
  • Assist in the compliance of the ADP time keeping system by ensuring that all time is approved and signed off accordingly;
  • Assist with Datatel patch testing and Cognos reports;
  • Assist in collecting payroll data for yearly worker's compensation payroll audit.;
  • Monitor time and attendance system for all FMLA and other leave of absences;
  • Maintain employee payroll records (i.e. direct deposit, tax set up);
  • Operate as a super user for Colleague or ADP;
  • Ensure familiarity and compliance with Federal and State payroll legislation to include Union contracts and RWU policy.

Additional Functions:

Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy.

Attend all necessary internal and external meetings relating to payroll in the absence of the Payroll Manager.

Update standard operating procedure manuals as required.

Perform other duties as assigned by supervisor or his/her designee.

 Requirements:
Associate degree in business, human resources or associated field of work experience. Knowledge of relevant government regulations. Three (3) to five (5) years in a FULL CYCLE high volume payroll processing role with an automated time and attendance system.

Must have advanced knowledge and experience in MS Office, especially Excel. Experience with salaried, hourly, union and non-union payroll.

Ability to manage several complex projects simultaneously while working under pressure to meet deadlines. Strong skills in organization, time and project management, verbal and written communication in dealing with employees, students, faculty and executives.

Preferred Qualifications:

Certified Payroll Professional Certification. Experience in Datatel and Kronos/ADP software.
